Reservations

Only registered/sanctioned student organizations may use college facilities. Online student reservation requests must be received 5 business days in advance of the proposed event. Advanced planning by groups is strongly encouraged to allow time for Faculty/Staff advisors to respond with approval for your event.

Recruitment and Rush

The Registrar's Office will no longer reserve classroom spaces for recruitment and rush activities.

Student Life Reservations

Request a space reserved by the Office of Student Life:

  • Stern Student Center (including the Stern Garden)
  • Cougar Mall
  • Rivers Green
  • Education Center Lobby
  • RITA 101-103

 

Classroom Spaces

All student groups will be expected to take The Cougar Pledge and abide by all rules regarding designated social distancing capacities assigned to classrooms.  No more than the amount posted in the classroom should be allowed in the classroom at once.  Before and after use, please ensure that the desks are wiped with the provided cleaning supplies and take your trash with you to ensure the room stays disinfected.

All student events will be assigned to a classroom building that will accommodate their classroom request.  Your College of Charleston Faculty or Staff group advisor must be present during the entire duration of the event. 

The classrooms in Lightsey Conference Center, Jewish Studies Center, and the first floor classrooms of the Robert Scott Smalls Building cannot be reserved by student organizations. There are other classrooms that are not available for student organizations or that need to be reserved through a Dean's Office. 

It is your faculty/staff advisor's responsibility to make arrangements for access to a classroom.

Note: A copy of the email confirmation can be forwarded to DoorOpeningRequests@cofc.edu by your Faculty/Staff advisor for classroom access.  Public Safety does reserve the right to decline a door opening request, if the request is for a space that is easily accessible by a faculty or staff member, i.e. one with a classroom access code.

Blackout Dates

Classrooms will be offline to all Student Organizations during the following dates:

  • December 6 - December 31, 2022
  • January 2 - January 9, 2022; April 27 - May 13, 2023

Student Responsibilities for Classroom Use

The use, distribution or sale of alcohol and/or illegal drugs in academic classrooms is strictly prohibited and grounds for dismissal from the College of Charleston.

Please be aware that the use of open flames and/or the burning of candles, incense, or potpourri are strictly prohibited within all classroom spaces.

Students should not paint, hang items, add, or remove furniture from classrooms. 

Students should not move projectors, computers, or wall screens/maps in the classrooms. 

Please reposition all furniture to their original positions before leaving the classrooms. Desks/chairs must not be borrowed from neighboring classrooms. In addition, all trash must be placed in the waste basket. If the trash cannot fit in the basket, please take it with you and dispose of it properly. 

Students are expected to extend common courtesy towards their colleagues who may also have an event taking place or are present in the same facility with particular attention paid to noise level. 

After your event, please ensure that the door is closed when you leave. If you have reserved a smart classroom, make sure that the door is closed and locked. 

Consequences for Violations 

Damage to equipment and furniture will be assessed to the department/group responsible for the reservation. Groups that choose to use classrooms without a reservation may be asked to leave the classroom in question and will be reported to their corresponding department.  Violators of the above criteria will be banned from future classroom reservations for a length of time determined appropriate by the Registrar's Office.

Event Cancellations 

Room reservations must be canceled 48 hours in advance of the event date. If the reservations are not canceled and not utilized by the group under which the reservation has been made, the group may lose their ability to reserve classroom space for the remainder of the semester.
